Abstract

Techniques relate to managing a document throughout its lifecycle according to configurable metadata associated with the document. A processor may receive the document in association with an operation and may determine suitable metadata, which may be configurable, to associate with the document. After the operation is closed, the processor may suitably handle the document based on the metadata. Handling the document may include moving the document to an associated profile and/or purging the document. Further, with the configurable metadata, the processor may control the document with increased granularity.

What is claimed is: 
     
         1 . A system, comprising:
 one or more databases, wherein the one or more databases comprise information related to a plurality of user profiles; and   a processor configured to execute computer-executable instructions which, when executed cause the processor to perform operations comprising:
 receiving a document via a document management portal, wherein the document is associated with an operation, and the document comprises metadata, wherein the metadata comprises information related to the document itself; 
 storing the document in the one or more databases; 
 receiving an indication that the operation is closed; 
 analyzing the metadata in response to receipt of the indication that the operation is closed; and 
 determining whether a user profile of the plurality of user profiles is to include the document based on the metadata of the document. 
   
     
     
         2 . The system of  claim 1 , wherein the metadata comprises information related to the operation, the user profile of the plurality of user profiles, a document type, a retention policy, a purge policy, a purge authorization, a user access permissions, or any combination thereof. 
     
     
         3 . The system of  claim 1 , wherein the computer-executable instructions, when executed by the processor, cause the processor to perform operations comprising:
 determine whether the document is subject to a purge hold based on the metadata; and   purging the document from the one or more databases based on a duration the document has been stored in the one or more databases exceeding a predefined amount of time and in response to a determination that the document is not subject to the purge hold.   
     
     
         4 . The system of  claim 3 , wherein the computer-executable instructions, when executed by the processor, cause the processor to increasing the predefined amount of time in response to a determination that the document is subject to the purge hold such that purging of the document from the one or more databases is postponed. 
     
     
         5 . The system of  claim 1 , wherein the document is generated within the document management portal, received from a computing device via the document management portal, or both. 
     
     
         6 . The system of  claim 1 , comprising an interface, wherein the computer-executable instructions, when executed by the processor, cause the processor to perform operations comprising:
 initiating the operation; and   receiving a user input via the interface based on the operation, wherein the user input creates, modifies, or interacts with the document.   
     
     
         7 . The system of  claim 6 , wherein the indication that the operation is closed comprises an additional user input received via the interface. 
     
     
         8 . A non-transitory, computer readable medium comprising instructions, wherein the instructions are configured to be executed by a processor to perform operations comprising:
 receiving a document via a document management portal, wherein the document is associated with an operation;   associating metadata with the document, wherein the metadata comprises data related to the document itself;   storing the document in one or more databases upon receiving the document, wherein the one or more databases comprise information related to a plurality of user profiles;   receiving an input to close the operation; and   in response to receipt of the input, updating a user profile of the plurality of user profiles to include the document based on the metadata associated with the document.   
     
     
         9 . The non-transitory, computer readable medium of  claim 8 , wherein the instructions, when executed by the processor, cause the processor to perform operations comprising:
 comparing a duration in which the document has been stored on the one or more databases with a predefined amount of time;   determining whether the metadata of the document comprises a purge hold; and   purging the document based on the duration exceeding the predefined amount of time and a determination that the metadata does not comprise the purge hold.   
     
     
         10 . The non-transitory, computer readable medium of  claim 8 , wherein the instructions, when executed by the processor, cause the processor to perform operations comprising:
 creating the operation; and   updating the operation, wherein updating the operation comprises modifying the user profile of the plurality of user profiles.   
     
     
         11 . The non-transitory, computer readable medium of  claim 10 , wherein the instructions, when executed by the processor, cause the processor to perform operations comprising:
 transmitting the document via the document management portal based on the metadata of the document;   receiving an updated version of the document via the document management portal after transmission of the document;   receiving the input to close the operation after receipt of the updated version of the document; and   updating the user profile of the plurality of user profiles to include the updated version of the document based on the metadata of the document in response to receipt of the input.   
     
     
         12 . The non-transitory, computer readable medium of  claim 10 , wherein the instructions, when executed by the processor, cause the processor to perform operations comprising:
 receiving a user input to update the metadata of the document during update of the operation; and   updating the metadata based on the user input.   
     
     
         13 . The non-transitory, computer readable medium of  claim 8 , wherein the instructions, when executed by the processor, cause the processor to associate the metadata with the document based on the operation, information of the document, a user input, the user profile, or any combination thereof. 
     
     
         14 . The non-transitory, computer readable medium of  claim 8 , wherein the instructions, when executed by the processor, cause the processor to perform operations comprising:
 identifying additional metadata associated with the operation, the information of the document, or both; and   associating the metadata with the document by causing the document to inherit the additional metadata.   
     
     
         15 . A method, comprising:
 receiving a document via a document management portal, wherein the document is associated with an operation to modify a user profile stored in one or more databases, the document comprises metadata that includes data related to the document itself;   storing the document in the one or more databases upon receiving the document;   receiving an input to close the operation;   determining the metadata indicates the document is to be moved to the user profile; and   including the document in the user profile in response to receiving the input and determining the metadata indicates the document is to be moved to the user profile.   
     
     
         16 . The method of  claim 15 , comprising:
 receiving an additional input to modify the document prior to receiving the input to close the operation;   modifying the document based on the additional input; and   including the document in the user profile after modifying the document in response to receiving the input to close the operation.   
     
     
         17 . The method of  claim 15 , comprising:
 determining a duration in which the document is stored on the one or more databases exceeds a predefined amount of time;   determining the metadata of the document does not comprise a purge hold; and   purging the document in response to determining the duration exceeds the predefined amount of time and the metadata does not comprise the purge hold.   
     
     
         18 . The method of  claim 17 , wherein purging the document comprises deleting the document from the one or more databases, sending the document to an archive, updating a log related to a history of the document, or any combination thereof. 
     
     
         19 . The method of  claim 17 , comprising outputting a notification prior to purging the document, wherein the notification comprises information related to purging the document. 
     
     
         20 . The method of  claim 15 , wherein the input to close the operation is received via the document management portal.
