Document management system

Abstract

The method, system and a computer program and a computer product for managing workers and documents is provided. The method includes storing industry representations and a list of workers with data related to the workers, linking the industry representations to the workers and selecting at least one worker from based on the industry representations for that worker. The method also includes scheduling workers to a job based on whether they have all of the required industry representations. In addition, the method includes uploading industry representations and bar code scanning industry representations into the database. The method further includes dispatching said industry representations to other users and automatically mapping fields of the dispatched data in the destination database. In addition, the method includes selectively encrypting only sensitive fields in data transmission between two entities.

         4 . A method of transmitting information in a document management system, comprising:
 reading, by a processor, barcode information from a barcode related to an industry representation; and   linking, by the processor, the barcode information to the industry representation,   wherein linking the barcode information includes:
 when the barcode information is complete, storing, by the processor into a memory, the industry representation with the linked barcode information, said complete barcode information includes an industry representation type and an entity, and 
 when the barcode information is incomplete, manually linking said industry representation to at least one of: the entity and the industry representation type, before storing, by the processor in the memory, said industry representation with the linked barcode information. 
   
     
     
         5 . The method of transmitting information according to  claim 4 , wherein when the information is incomplete, temporary storing said industry representation with the linked barcode information before the manual linking. 
     
     
         6 . The method of transmitting information according to  claim 4 , wherein the barcode information further includes an expiration date for the industry representation. 
     
     
         7 . The method of transmitting information according to  claim 4 , further comprising:
 transmitting the information by at least one of:
 uploading the information into a database system, 
 transmitting the information via a facsimile, 
 emailing the information, and 
 posting the information to a website using SOAP. 
   
     
     
         8 . The method of transmitting information according to  claim 4 , further comprising:
 image scanning the industry representation with the barcode and then reading the barcode information.   
     
     
         9 . The method of transmitting information according to  claim 4 , further comprising:
 receiving the industry representation with the barcode via a facsimile transmission before reading the barcode information.   
     
     
         10 . The method of transmitting information according to  claim 4 , wherein the barcode information further comprises custom information or user generated custom fields. 
     
     
         11 . The method of transmitting information according to  claim 4 , wherein the entity is a worker, a vendor, a job, a customer, a contact, a user, or a company and the industry representation is a certificate, a license, a document, a form, or other industry required representation. 
     
     
         12 . An apparatus to transmit information in a document management system comprising:
 a processor; and   a memory including software instruction that enable the apparatus to perform operations of:
 reading barcode information from a barcode related to an industry representation; and 
 linking the barcode information to the industry representation, 
   wherein:
 when the barcode information is complete, storing, in the memory, the industry representation with the linked barcode information, said complete information includes an industry representation type and an entity, 
 when the barcode information is incomplete, manually linking said industry representation to at least one of the entity and the industry representation, before storing, in the memory, said industry representation with the linked barcode information.

The apparatus to transmit the information in the document management system according to  claim 12 , wherein, when the barcode information is incomplete, temporary storing in the memory the industry representation with the linked barcode information before the manual linking. 
     
     
         14 . The apparatus to transmit the information in the document management system according to  claim 12 , wherein the barcode information further includes an expiration date for the industry representation. 
     
     
         15 . The apparatus to transmit the information in the document management system according to  claim 12 , wherein the operations further comprise:
 receiving the industry representation with the barcode via a facsimile transmission or internet.   
     
     
         16 . The apparatus to transmit the information in the document management system according to  claim 12 , wherein the operations further comprise:
 transmitting the information by at least one of:
 uploading the information into a database system, 
 transmitting the information via a facsimile, 
 emailing the information, and 
 posting the information to a website using SOAP. 
   
     
     
         17 . The apparatus to transmit the information in the document management system according to  claim 12 , wherein the operations further comprise:
 receiving the industry representation with the barcode via a facsimile transmission before reading the barcode information.   
     
     
         18 . The apparatus to transmit the information in the document management system according to  claim 12 , wherein the operations further comprise:
 receiving the industry representation with the barcode via a facsimile transmission before reading the barcode information.   
     
     
         19 . A method of uploading information in a document management system, comprising:
 reading, by a processor, barcode information from a barcode attached to a coversheet;   receiving, by the processor, a plurality of industry representations;   automatically linking, by the processor, the barcode information to each of said plurality of industry representations; and   storing, by the processor in a memory, said plurality of industry representations with the linked barcode information.   
     
     
         20 . The method of uploading according to  claim 19 , further comprising:
 scanning the coversheet with the barcode to perform the reading of the barcode information.   
     
     
         21 . The method of uploading according to  claim 19 , further comprising:
 receiving via a facsimile the coversheet with the barcode to perform the reading of the barcode information.   
     
     
         22 . The method of uploading according to  claim 19 , further comprising:
 manually linking each of said industry representations to at least one of an entity and an industry representation type before storing in the memory said industry representations with the linked barcode information.   
     
     
         23 . The method of uploading according to  claim 19 , wherein the barcode information includes an entity which is a worker, an industry representation type, and at least one of an expiration date and custom information and wherein the industry representation is a certificate and the industry representation type includes a state and type of government required certificate. 
     
     
         24 . The method of uploading according to  claim 19 , wherein said industry representation is a document, a certificate, a license, other industry required representation, or a job required representation and wherein the industry representation is associated with at least one of a worker, a vendor, a job, a customer, a contact, a user, or a company.
